ICDI Conference-and-Events-Cancellation-and-Refund-Policy
All ICDI Conference and Training events cancellations and refund requests must be made in writing as indicated below. Requests must be sent to ICDI UK Headquarters Events Office. Requests may be mailed or emailed (contact information below). Telephone requests will not be honoured.
Full Refunds – More than 90 days notice
To receive a full refund, ICDI must receive written requests no later than 90 days prior to the first day of the conference or event.
50% Refunds – More than 60 days notice
Requests for refunds received by ICDI no later than 60 days prior to the first day of the conference or event will be eligible for a 50% refund.
No refunds – Less than 60 days notice or No Show
Requests for refunds within 60 days prior to the start of the conference/training or for No Show at the conference/training will not be eligible for a refund. This is because we would have already paid the (non-refundable) per person costs for renting the conference facilities, hotels, lunches, refreshments, local transport, etc. for all our delegates.
Author/Speaker refunds
Authors and Paper presenters who have their papers included in the proceedings are not eligible for a refund. Authors may receive a refund if they withdraw their papers before the paper is included in electronic or hard-copy proceedings.
Emergency illness or Death of Registrant or Immediate Family Member
Refunds may be granted on discretional percentage of total registration fees paid, if an attendee is unable to attend the Conference due to a family death or illness (at the discretion of the organising committee). In such circumstance, ICDI Events Office must be contacted by letter or email.
Substitution Policy
Registrants may send a substitute in their place in lieu of requesting a refund. ICDI Events Office must be notified of this at least 15 days prior to the start of the event or conference.
If minimum participants quota is not reached to proceed with any said events, ICDI reserves the right to cancle and/or postpone the events. In event that we do not process refund, we may issue delegate(s) credit notes (at the discretion of the organising committee) indicating the equivalent of the programme cost, which can be utilized to participate in subsequent conferences or trainings up to the next 2 years.
Visa Letters and refunds
Visa letters and invites cannot be produced until payment for registration has been made. In the event that a visa cannot be obtained due to other existential circumstances arising on the part of the conference attendee, a refund cannot be given. Notification of this must be given to the Events Office at least 15 days prior to the start of the Conference or Event.
In the case of refund disbursement, ICDI Events Team will refund fees as soon as possible and no later than one month after the conference or event has concluded. The refund will be made back to the card used for initial payment.
